Create a custom role
Define a role with exactly the permissions a job needs, such as a glossary keeper who manages terms but cannot run AI translation.
Who can do this: admins, the Owners of the account that holds the workspace, and members whose role includes Invite, re-role and remove members. Custom roles are available on every plan.
The four built-in roles cover most workspaces. A custom role is for a job title that does not match one of them. It holds exactly the permissions you tick, and you can only tick permissions you hold yourself.
Open Roles
Open Settings, choose the Workspace tab, then Roles, and select New role.
Name it
Fill in Name (for example Lead Linguist) and the Identifier, which takes lowercase letters, numbers and hyphens (for example lead-linguist) and must be unique in the workspace. The names of the built-in roles are reserved. Add an optional Description, for example Keeps the glossary for the German market.
Choose a level
Pick Translator level, Developer level or Admin level. The level only orders the role against the built-in ones in the permissions table and in who may hand it out. It does not grant anything on its own: the permissions do that.
Tick the permissions
The permissions are grouped under Project, Organization and Assignment. The table behind the panel shows the role you are assembling beside the roles that already exist, so you can compare them before you save.
Create the role
Select Create role. The message reads "Role “Lead Linguist” created." with your role's name.
The role now appears in the role pickers on People, in the invitation dialog and on project grants.
What a custom role can never do
- It can never hold the four permissions that belong to the Owners of the account: deleting the workspace, configuring single sign-on and SCIM, requiring two-factor for everyone, and managing white-label branding. These rows are marked "Account owners only. No workspace role can hold it."
- It never bypasses a per-project grant, the way an account Owner or an admin does. A member with a custom role, even at Admin level, can still be narrowed on one project.
- Languages are not narrowed on the role. "Narrowing this to specific languages is set on a per-project grant, not here."
Edit or delete a custom role
Select Edit on the role's row, change it, then select Save role. Changing a role changes what everyone holding it can do, immediately.
Select Delete to remove a role. If people hold it, choose a role for them under Move them to before you select Delete role, so nobody is left pointing at a role that no longer exists. If nobody holds it, nothing else changes.
If it doesn't work
- "You can only grant capabilities you hold yourself.": you ticked a permission your own role does not carry. Ask an admin or an account Owner to create the role.
- "You cannot move members to a role that carries more than you hold": choose a replacement role with no more authority than your own.
- "Choose a different role: this is the one being deleted.": pick another role under Move them to.
