Invite a teammate
Send someone an invitation to your workspace with the role they arrive with and, for an outside vendor, the one project they may open.
Who can do this: admins, the Owners of the account that holds the workspace, and members whose role includes Invite, re-role and remove members. You can only invite someone at a role that carries no more than you hold.
Open People
Open Settings, choose the Workspace tab, then People, and select Invite someone. The dialog has three steps and sends nothing until the last one.
Enter the address and role
Enter the Email address, then choose the Role: Admin, Developer, Reviewer, Translator or one of your custom roles. Each choice says what the role is for, and roles with more authority than your own are not offered. Select Choose a scope.
Choose what they can open
Leave What they can open on All projects for a normal teammate. To onboard a vendor or freelancer, pick one project instead: they will see nothing else in the workspace. Once you pick a project, Locales they will own appears. Leave it empty for every locale in that project, or narrow it, for example de, pt-BR.
Review and send
Select Review the invite, check What they will see, then select Send the invite.
What happens next
The invitation appears under Waiting to accept on People, with its role, its project if it has one, and the date it expires, seven days after you send it. The person receives an email with a private link that takes them through signing in or signing up. Accepting adds them to the workspace with that role and, for a scoped invitation, the project access it promised. See Accept an invitation.
An invitation holds a seat
A waiting invitation reaches nothing until it is accepted, but it holds a seat on your plan from the moment you send it until it is accepted or expires.
Resend, change or revoke an invitation
Until it is accepted, the invitation's row offers:
- Resend: sends the same link again. The link in the first email keeps working, and the invitation then expires seven days from the day you resend.
- Revoke: ends it after you confirm. The link in their email stops working.
If you type an address that already has an invitation waiting, the dialog stops on its first step and shows the waiting invitation (role, what they can open, when it was sent and when it expires). Upper and lower case do not matter. You then choose:
- Resend the same invite: the same as Resend on the row.
- Change this invite: continues through the dialog with the current values filled in. The last step lists What changes, and the button reads Change and send the invite. Changing it creates a new link, so the link in the first email stops working.
When the waiting invitation is at a role you cannot hand out, or at a role the workspace no longer has, Change this invite is the only choice, and Resend is not on its row.
If it doesn't work
- "An invitation to ... is already waiting to be accepted.": use Resend the same invite or Change this invite.
- "That user is already a member.": change their role on People instead.
- "You cannot invite someone at a role with more authority than you hold.": ask an admin or an Owner of the account to send it.
- "That project does not belong to this workspace.": the project you picked is not in this workspace.
- "Unknown locale: use BCP-47 tags like de or pt-BR.": one of the locale tags is not recognised.
- "Nothing was sent to ...": email to that address is being held back, usually because an earlier message to it bounced. Nothing was saved, so a waiting invitation is unchanged.
- "... is already a member of this workspace, so there was nothing to send." after Resend: they joined another way. Revoke the invitation.
- "The invitation to ... has expired and its link no longer works.": invite them again.
- When the account has no free seat on its plan, the invitation is refused with the reason. Free a seat or upgrade the plan, then send it again. Changing an invitation that is already waiting is not refused this way, because it already holds its seat.
