Translating

Act on many strings at once

Select rows in the editor, then translate, approve, flag, copy the source, rename or delete them together.

In the editor's Table view, every row has a checkbox. Tick the rows you want and a bar appears above the table with the actions you are allowed to take on them. The selection belongs to the language on screen: approving or translating acts on that language only.

Select rows

Narrow the table first

Use Filters or the search box so the table shows the strings you mean to act on. See Filter the editor.

Tick the rows

Tick rows one by one, or use the checkbox in the header row (Select every key on this page) to take every row that has loaded.

Take every match, if you need to

The table loads rows as you scroll. When every loaded row is selected and more rows match your filter, a banner reads All N loaded rows are selected. Select Select all N matching this filter to add the rest.

The bar shows how many rows are selected. Clear empties the selection.

Actions

ActionWhat it doesWho can use it
TranslateTranslates the selected strings with Glossa, after showing what the run covers. Anything a person has edited or approved is left as it is. See Translate with AI.Developer and above
ApproveApproves every selected translation.Reviewer, Admin, account Owner
FlagMarks every selected translation as needing a check.Reviewer, Admin, account Owner
Copy sourceFills the translation with the source text, for strings that must stay identical in every language, such as brand names, product codes and URLs. Fill empty rows only leaves existing translations alone; Replace existing translations too overwrites them.Anyone who can edit the language
Keys, then Rename prefixChanges the start of every selected key name, for example from checkout. to cart., then Rename.Developer and above
Keys, then Character limitSets a maximum length on every selected key with Set, or removes it with Clear.Developer and above
DeleteDeletes the selected keys and every translation of them, in every language.Developer and above

The key actions (Rename prefix, Character limit, Delete) work on up to 200 keys at a time.

What to expect

Approving a large selection. Approving more rows than fit on a screen asks first: "This approves every selected row, including rows nobody has opened. Rows changed since they were loaded, and rows you wrote yourself, are skipped." A large approval is sent in parts and shows its progress as it goes. When it finishes, a message such as "Approved 180. 4 changed since load." says how many rows were approved and why any were skipped.

Empty translations are never approved. A selected row with no translation is skipped.

Rename is all or nothing. If any new name would collide with a key that already exists, nothing is renamed and the bar says "Renaming would collide with an existing key:" followed by the name.

Changing a character limit re-checks the strings. Translations that now run over the new limit are flagged for review. Raising a limit does not clear a flag that is already there.

Delete cannot be undone. You type the number of keys to confirm. The workspace's Admins are notified that the keys were deleted, and the deletion is recorded in the project's activity. Apps that read a deleted key fall back to the key name.

A member scoped to particular languages cannot delete a key that holds translations in a language outside their access, because deleting a key removes its translations in every language.
